Amendment Guide

An amendment to a Policy can be in the form of:

Major Amendment

A significant change to a Policy Document which:

  1. impacts on the objectives, purpose, intent, scope, substance, content, meaning and/or effect of the Policy Document;
  2. has a bearing on other NUS related documents, including but not limited to, NUS Policy Documents and non-Policy Documents (e.g. internal University legislation, external government legislation, websites, forms, templates and publications);
  3. affects aligned processes or systems, responsibilities, roles, structures and other operational aspects;
  4. impinges on implementation requirements; and/or
  5. concerns Stakeholders.

 

Examples of Major Amendments may include (but are not limited to) the following:

  1. a change to the scope, coverage or subject matter of a Policy Document;
  2. a change to supplementary documents such as schedules, appendixes or annexures to the Policy Document.
Minor Amendment

An editorial, administrative or clerical amendment to a Policy Document which:

  1. does not impact on the objectives, purpose, intent, scope, substance, content, meaning and/or effect of the Policy Document;
  2. does not have a bearing on other NUS documents (both Policy Documents and non-Policy Documents (e.g. internal University legislation, external government legislation, websites, forms, templates and publications);
  3. does not affect aligned processes or systems, responsibilities, roles, structures and other operational aspects;
  4. does not impinge on implementation requirements; and
  5. does not concern Stakeholders.

 

Any amendment that does not satisfy all of the elements listed above will, by default, be deemed a Major Amendment.

Examples of Minor Amendments may include (but are not limited to) the following:

  1. Drafting/Nomenclature: Nomenclature changes or modifications to improve clarity of drafting without any change to the subject matter, content, meaning or effect.
  2. Updates: Correction or update of contact/unit names, titles, email or web addresses.
  3. Links: Addition, removal or update of hyperlinks and/or references to external legislation, other NUS Policy or non-Policy Document(s) or other external references.
  4. Formatting: Changes to rectify document layout, formatting, numbering.
  5. Error corrections: Rectification of spelling/grammatical/typographical/clerical errors.

Approval Process

Official Templates (Policy Document Development Procedure Document):

All changes to any Policy Documents require the approval form to be completed and signed by the relevant Approving Authority and Responsible Officer. The different types of changes are:


 

  1. Add New Policy
  2. Major/Minor Amendment to Existing Policy
  3. Repeal Existing Policy

 

The Responsible Owner may submit one consolidated Approval Form for multiple Policy Documents if the Policy Documents are approved at the same time, by the same Approving Authority.

 

Note: An email approval is accepted as a replacement for the signature. Please forward the email approval together with the Policy Document 
during submission.
